Effective volunteer meetings
Engaging your volunteer team in meaningful and productive meetings is essential for everyone to feel connected and heard. It is important to acknowledge that everyone makes a valuable contribution to the planning, promotion and success of your ministry or mission. If you have volunteers who have travel plans, it’s a great idea to offer an option to join the meeting online.
You might like to prepare an agenda that outlines topics to be discussed, along with time allocations for each item. Outline specific goals and share these in advance, so volunteers understand the purpose of the meeting and what to expect. This clarity helps keep discussions focused and relevant and allows volunteers to think about issues ahead of time and contribute effectively. Bear in mind that there may be some who mostly provide practical support but value your meetings as a forum to share their gifts of creativity and generosity.
Encourage participation from the whole team to attend by creating an open and welcoming atmosphere. To inspire connection start with an icebreaker exercise or use a short devotional and spend some time reflecting on the time frame just prior (term/semester/year). Ensure you create time for input and feedback on discussion topics to ensure everyone feels valued and heard.

Don’t forget to pray throughout the meeting. Thank God for His provisions. Petition Him for more availability of team, spiritually searching families (or whoever are your stakeholders), and support from your community of faith. Name the blessings you have experienced, thanking God for generously showing His activity in the lives of others. Pray for needs, both in those who attend and in the lives of the team. Ask for blessing over your community of faith, in their endeavour to positively influence and disciple the local community
